Two executives can describe the same file in opposite ways. One says it is sanctioned because the bank gave a verbal okay. The other still has it in progress because the sanction letter is not in hand. The report then lies, and the owner cannot tell what will disburse this month.
Agree on the words
New application means the borrower is in, and the file is not yet with a lender in a serious way. In progress means a lender is working the case. Sanctioned means you have a sanction you can act on, not a hopeful conversation. Disbursed means the money has gone or the bank has confirmed disbursal. Hold means the file is paused on purpose, with a reason. Rejected means this lender has said no.
If your desk uses softer words in WhatsApp, translate them into these before the day ends.
Do not skip a step to look busy
Marking a file disbursed because the borrower "said the amount was credited" creates a report you cannot defend. If you are waiting on proof, the status stays sanctioned and the follow-up asks for the proof.
Hold needs a date
Hold without a review date is where files go to disappear. When you set hold, write why — valuation, a legal opinion, a borrower who travelled — and schedule the day you will check. If that day passes with no change, the file should show up again with the other follow-ups.
Shared status words make the dashboard and the monthly report describe the same desk everyone is actually working.
